Digital Proof Approval & Production Policy

At WearForm, all custom uniform orders require approval of a digital proof prior to production. This ensures your order is produced accurately according to your specifications.

1. Proof Review & Approval Requirement

  • A digital proof will be sent within one (1) to two (2) business days after your order is placed.
  • The proof will include all relevant order details, including artwork, colors, and placement.
  • Production will not begin until the proof is approved.
  • By placing an order, you acknowledge that approval is required before production can proceed.

2. Customer Responsibility

  • You are responsible for reviewing the proof carefully for accuracy, including spelling, design, sizing, and placement.
  • Approval must be provided through the method indicated in the proof email.
  • WearForm is not responsible for errors approved by the customer.

3. Non-Response & Cancellation Policy

To avoid delays, we will attempt to contact you if approval is not received:

  • Up to three (3) email reminders
  • One (1) phone call attempt (if a valid phone number is provided)

If no response is received after these attempts:

  • The order will be canceled due to non-approval
  • A 20% cancellation fee will be deducted from the order total to cover design, processing, and administrative costs
  • The remaining balance, if applicable, will be refunded to the original payment method

4. Rush Orders & Expedited Production

For orders placed with rush or expedited production:

  • Timely approval is critical to meet delivery deadlines
  • We recommend approval within a few hours of receiving the proof
  • Delays in approval may result in:
    • Missed delivery dates
    • Loss of rush production eligibility
  • Rush fees are non-refundable once the proof has been issued

WearForm is not liable for delays caused by late customer approval.

5. Production Timeline

  • Production timelines begin only after proof approval is received
  • Estimated delivery dates are contingent upon timely approval
  • Any delay in approval will automatically shift production and delivery timelines

6. Communication Responsibility

  • Customers are responsible for monitoring their email, including spam or junk folders, for proof notifications
  • If you anticipate being unavailable, please notify us in advance to avoid cancellation

7. Agreement to Policy

By placing an order with WearForm, you agree to this Digital Proof Approval & Production Policy, including the cancellation terms outlined above.
